Contract analytics software: find the terms buried in your agreements

Which suppliers can raise their prices this year? Which contracts renew next quarter? Who needs to send notice? Contract analytics software helps answer questions like these across a collection of agreements, without opening every PDF in turn.

What does the software actually do?

It takes details from your agreements and organizes them into records you can search, filter and report on. Useful fields might include the supplier, end date, renewal notice period, payment terms and liability cap. A good record also shows where the information came from.

That last point matters. A field saying “30 days” is hard to trust if you cannot tell which document it came from or what starts the clock.

Review one contract

You want to understand the agreement in front of you and decide what to negotiate. Look for clear findings, quoted passages and suggested edits.

Analyze many contracts

You want answers across a collection: upcoming renewals, price changes or agreements missing a particular term. Look for searchable records and links to the source text.

Manage the process

You also need approvals, signatures, reminders or assigned tasks. Those are contract lifecycle management, or CLM, features. Find out whether they are included in the product you’re considering.

Fictional example

The renewal deadline changed. Did the record?

A support agreement ends on December 31 and requires sixty days’ notice to avoid renewal. A later signed amendment shortens that period to thirty days. An old draft in the same folder says ninety.

A search that returns all three numbers leaves you with the work of deciding which applies. A useful record links the agreement to the signed amendment, identifies the wording that now controls and keeps the old draft separate.

Before setting a reminder, someone still needs to verify the notice wording and date calculation. The record should show the deadline, the person responsible and any unanswered question about how notice must be sent.

Choose fields your team will use

Start with the questions you regularly struggle to answer. For renewals, you need dates, notice requirements and an owner. For supplier costs, you may need pricing, adjustment rights and payment terms. Collecting dozens of unused fields creates more information to check and maintain.

  • Documents: the signed agreement, its order forms and amendments, and their relationship to one another.
  • Dates: start and end dates, renewal periods and the wording needed to calculate notice deadlines.
  • Money: price, currency, payment conditions and rights to change the amount.
  • Exceptions: terms outside the usual position, missing documents and unanswered questions.
  • Responsibility: who checked the information and who needs to act on it.

Before moving your contract collection

Find out who will clean up duplicate files, link amendments and correct extracted values. Try a search with a user who has restricted access, and inspect an export. Access limits should still apply when information appears in a report.

Ask how you can retrieve the documents, data and correction history if you leave. If the product sends reminders, confirm who receives them and who keeps the dates up to date. A report by itself does not send a renewal notice.

Common questions

Could we use a spreadsheet instead?

For a small collection that changes infrequently, yes. You still need accurate entries, a way to track amendments and someone responsible for each deadline. Consider software when those specific tasks become difficult to maintain.
